Outlook Calendar Integration

You can add your Outlook account to Magnetic to sync your calendar events to Magnetic. You can also sync these events into Magnetic tasks. 
It is also possible to sync Magnetic time allocations to your Outlook calendar and auto-track & complete your calendar synced tasks in Magnetic.

Here's how to set it up:

  • Navigate to Personal Settings>Mail Accounts
  • Click New Mail Account
  • Click Office 365
  • You will be taken to a Microsoft Sign in page to sign into your Outlook account. 


Once connected the linked account will appear within the Connected Integrations and Mail Accounts section


The following settings relate to the integration and can be enabled/disabled depending on requirement. Enable all 3 if you want to use the full integration.

  • Sync events into Magnetic tasks - This enables the sync of Outlook calendar events into Magnetic tasks. To ensure the task is created, you need to ensure that your event name contains the m# suffix, If there is no suffix, only the event will be added to your Magnetic calendar. (See more about it further down below)
  • Auto track calendar tasks - When the Outlook event has passed, Magnetic will automatically track the estimated time and complete the task in Magnetic. 
  • Sync Magnetic time allocations to calendar - Any time allocations you have assigned in Magnetic will be synced to your Outlook calendar

Important things to remember for your calendar events & time allocations:

  • Adding "m#" and the job number as a reference at the end of the calendar event name. E.g. "Meeting m#0013" will allow the event to be synced as a task into Magnetic. The job externalRef(if your job has an external reference) can also be used. This will put the task directly into a specific job
  • Events which are marked as "Private" will be saved as "Private Event" with only the time/date fields populated.
  • The estimated time on your task will automatically be set by the duration of the calendar event that has been created
  • Magnetic time allocations are synced to your calendar will appear as a full day item at the start of the day, showing the allocation amount of time.


Note:

  • Magnetic doesn't store your Outlook account credentials
  • Magnetic will check back to the previous day on your calendar and mark any tasks that have concluded, as complete in Magnetic. Any estimated time on the task will be added as the tracked time
  • Magnetic pulls in events 31 days in advance
  • To avoid having two "sources of truth", updates made to calendar events in Magnetic won't re-sync to Outlook and similarly, changes made in Outlook to your time allocation events won't resync to Magnetic.
