The Magnetic 2.3 release includes the following new features/updates.


  1. New Team Scheduler
    See the summary/highlights further down in this release document.

  2. Ability to duplicate sections and line items on account documents
    Clicking the duplicate button will duplicate an entire section or a line. 

  3. Tables  
    We've added the option to resize columns and in addition the colour will now show in the table. 

  4. Finance Summary headings 
    Instead of using abbreviations, the account types are now spelled out making it more user friendly for new users. 

  5. Added a "Variance" and "Leave" column to the Company Time Summary
    This enhancement will allow to see a users overtime hours by comparing the Total Time (Tracked) and Expected time (a users Base time). 

  6. Enhanced search option in the Time Sheet
    Adding an existing task from the Time Sheet now shows this button, and clicking it will allow you to search for a task by limiting by Company, Job, Sub-Job. This is useful if you do not know the task name, but you know the client or job name.

  7. Copy Task
    Located in the Actions menu, we've added an option to Copy a task. Copying will create an exact copy of the task, but open the Task Edit window so you can make changes as needed.

  8. Generate Invoice from Estimate or Costs
    We've further enhanced the Generate Invoice from... by adding the Cost Estimate to the selection options. Thereby, you can pick the line items from the Cost Estimate that you would like to transfer to the Invoice.

Summary/highlights of the new Team Scheduler

The new Team Scheduler can now be easily accessed through the Main Menu:

Highlights

  • Capacity/Availability in front
  • Drag n’ drop functionality
  • Ability to add a new task where the is capacity available
  • Staff leave indicated on the scheduler


Filter

  • You can now filter the Team Scheduler by specific resource Skill or Tag.  
  • We've also added the ability to multi-search which means that you can filter by multiple search parameters such as Department 1, Department 2 - separate the search by comma. 
  • Searching by Skill or Tag has also been added to the Resource Capacity Dashboard.

Settings

  • Red highlight: This is the default scheduler view (can be changed)
  • Split Tasks into Daily Allocations: Will show each daily allocation as a separate card in the overview.   


Split tasks into Daily allocations

  • Ability to see tasks split up into their daily allocations

    Besides the tasks splitting there are some other differences between the Split View and the Combined View: 

    In the Split View, the allocated hours will show in total, and then allocated per day in the grey box as illustrated below. 

    In the Combined view it will show the allocated hours, and then time tracked in the grey box as illustrated below.

Settings

  • Deselecting Tasks from the menu in Settings will show Allocated Hours and Capacity


  • Show Collapsed View will show a (collapsed) mini version of the task cards

     

Allocated per day

  • See how much time is allocated in total, for the day /resource, time tracked and time remaining on the task
  • See other resources assigned to the task


Free Capacity

  • Monitor free capacity in multiple ways to easily see which resources are available for scheduling


Move Tasks

  • Drag & Drop tasks onto another day or another resource
  • Switch to the 2 week view for easier scheduling into the next week

New role: Assigned Resource

  • In Version 2.2, the Task Owner was the allocated resource for the task
  • In Version 2.3, the Task Owner now becomes the actual task owner. We've created a new role for "Assigned Resource"  which can be different from the task owner, reflecting the actual user doing the work on the task.


New Lane Views

  • 3 new lane views have been added
  • Resource Status Lane view

    Allows you to see individual resource task statuses across all jobs.
    Setting you as the Task Owner in the filter (done by default), you can easily track the status of a task, by the individual resource that you’ve allocated.
    In the screenshot, you can clearly see Task 2, that Kevin is Working On, while John has it set On Pause.

    Quickly get an overview of tasks by a certain Task Owner

    Quickly get an overview of tasks assigned to your resources

     

New Task

  • A new task can be added for the day and resource, by clicking the New Task that appears when you hover over of the daily block. 

Multiple resource allocation

  • 1 task can now be assigned to multiple resources
  • Each resource can have their own task instruction
  • Each resource has their own time allocation


Individual Task Instructions

  • Task instructions for each resource are displayed when the user views their task.

Time Tracking when not allocated

  • Users that are not assigned to the task but have tracked time on it, will show in the view.
  • Can easily be added as an assigned resource by clicking the arrow icon, or left as is.


Allocated time visible on timesheet

  • Time allocated shows in the Time Sheet as a reminder to how much time was to be spent on the task.
  • The user will still need to input the actual amount of time when tracking time.


User Capacity Profile

  • You can now specify Ideal Allocation per day & Extra capacity along with Base Capacity.
  • The update defaults Ideal Capacity to 6 hours and Extra to 2 hours which you can change on each resource.  


Capacity Colour indicators

  • Base Capacity is the offset.
    The Capacity Colour Indicators will always calculate with the Base Capacity as the offset.
  • Magnetic will not prevent you from over-allocating hours, but warn you using the colour indicators as explained below (Base capacity in the example is set to 8 hours)


Advanced and more intelligent allocation of hours

  • Time distribution according to new capacity profile functionality - first available capacity OR evenly
  • Manual time allocation if required


Granular control of billing rates on tasks

  • Billing Rate rules for Time Tracking
    • No Billing Rate set on the task: Billing Rate is picked up from the User Default Billing Rate.
    • Billing Rate set on the task: it will use the Task Billing Rate when time is tracked on the task.
    • Setting a fixed Billing Rate for the user in Adjust Allocation will force that Billing Rate to be used when time it tracked.
  • Magnetic will remember the fixed Billing Rate and lock it, even if it is changed on the task level later.

  • Please check that your users has a Default Billing Rate set. 


Unassigned user enhancements

  • Unassigned allows you to assign a task to a generic resource type.
  • Supports assigning generic resources to opportunities to see the resource impact it will have, without assigning the task to a named resource.


Find a resource

  • Magnetic will help you find the right resource with available capacity within the timeframe specified.  
  • Once you've decide who to allocate the task to, click on the resource picture(s) in the bottom and click Save.
